Ending the trimester with a Bang!

e.jpg

The end of the trimester made me a more mature individual with a better understanding and realizations pertaining to Management Information Systems and Technology. Behind the name lies a deeper notion and apprehension of the subject matter. Truly, it made me view Management plus IT in a different and better perspective. Thus, knowledge never stops as everyday is a learning process.

Truly, throughout the trimester, it enhanced and refreshed my mind with the strategic use, application, and most importantly the management of information paired with technology most especially in the workplace and in ways that it can enhance the overall processes of organizations. As for myself, I have seen and realized how simple IT can turn my workplace into something that is effective and efficient. There can be IT but without the proper handling and management of IT, it will be still deemed as useless and ineffective. As workers, it is essential that we must be able to fully understand the wide scope of IT to get involved and participate in IT decision making, strategic planning and project implementation. As part of certain organizations, it is also important that we can make a change or rather we can create a change to make sure that we bring the real value and essence of IT and see to it that potential risks are mitigated.

c

In the field of business, the use of IT is also a big help since this subject has enlightened me with the wide range of applications and solutions towards online business methods and the likes. Interaction and collaboration with customers can also be made simple and effective through the use of IT – online collaborative tools and others. The gathering and analyzing of data can also be achieved in an instant through the use IT which can be very helpful in business implementation.

Also, the subject has reviewed and once again made things clear about the ethical issues, security, social and legal topics that is vital for the implementation of IT systems most especially that it involves people. And when people are involved things can get too complicated and can overlap concepts and procedures.

Electronic spreadsheets and database are also applications that truly create a big difference in the lives of every individual. It can be a big leap to the business enthusiasts and personal ventures.

So to summarize everything, let’s go back to the basic question. Does IT Really Matter?

Well definitely IT does matter because it encompasses a lot of daily activities. Without IT, everything will be dull, senseless and hopeless. This trimester in Information Technology made me gained insights not just in the technical side but also in the decision making process as future managers and as individuals. IT is more than just about the hardware, software and peopleware, it’s all about the underlying concepts and processes that actually make a certain unit efficient and successful. Technical skills are needed, but further higher technical-thinking skills are also needed for the IT in the different aspects of the world to operate effectively.

d

IT is vital in work and moreso in personal life and professional development. Why? First and foremost, if you are going to stop what you are doing right now and look at everything around you, you will see that basically almost every task of people’s lives depends on the use of technology. When you wake up in the morning, the first thing that you look for is your cellphone. And generally people can no longer go on with their daily lives if they have no cellphones, laptops, and other technological devices. Our lives are ruled with the help of IT and whether we like it or not, the use of IT has developed how we live throughout the ages much as we are living in comfort today. Personally, I cannot fathom to think about myself living my everyday life without the use of IT. My everyday life and work process involves the use of technology from hardware to software and people in the organization as well.

a

As workers, it is important to understand how the organization and how the system works. It is essential that for everyone to cooperate and to utilize IT effectively, individuals must be exposed and must be made aware of the risks and potentials of IT. In certain organizations, there are some people who resist change and thus it is difficult for organizations to implement IT strategies and processes when there are people who do not cope up and would not want anything to do with technology. Thus, in today’s globally competitive world, it is important that paired with the technical skills, it is also important to try to manage and consider people in the organization who are not as skilled as we are. It is important to look at everyone equally and by equally it means that everyone is treated fairly, without prejudices or biases.

IT actually opens to a lot of opportunities given that everything today can just be made in an instant, with just a click away. There are still a lot of concepts and things that cannot be fully understood as an individual that is why I firmly believe that knowledge is continuous and that learning does not stop here, in the last blog, or in the four walls of the Laboratory. IT will keep on advancing, will keep on searching for the trend, and will keep on aiming for more high-end technology there is to date. As individuals, we should not stop learning. There are a lot of readings over the web and we should update ourselves with what technology has to offer. At the end of the day, feeding ourselves with information will always be healthy and will count zero calorie.

The Social Media Syndrome

44

The use of social media today is so powerful that it can either make or break you. Together with the growth of technology comes the inevitable use of social media, as everyone of various age groups are trying to fit in the new trend. Almost anything under the sun can be found in social networking sites and sometimes people tend to spend their time more in social media than the actual real world setting.

True enough, social media has made a big impact in the lives of everyone, most especially to the millennials. But what is really social media? Social media are online sites and web applications that allow users to make and share content to participate in social networking or simply put, online applications that enable everyone to connect and communicate with each other. The use of social media has been prevalent and most of the most talked topic nowadays are mainly because it was posted or it was made “viral” by social media.

33

The use of social media can be of advantage for personal development and professional growth. Personal development and professional growth can also be overlapped with each other through the use of social media. You can connect with basically everyone in the world. You can build your network, can enhance your connections and you can build rapport with anyone you choose to be with, most especially when you are starting up your own business.

Once you have already established rapport with people within your web connectivity, you can easily reach out your business proposals and ventures with everyone online. It will be just as easy as adding friends all around. Advertising and marketing will be convenient most especially if there are good reviews of your business online. People would mostly purchase products that have high ratings and have good reviews from users and would eventually purchase the product too, and will in turn put in their reviews online too. Also for big business ventures, supply chain management can be made easy since it can browse online the raw materials needed.

Thus, these are my Personal Commitment Statements on the responsible use of social media:

  1. I will not carelessly post things especially when it involves critical issues like political standpoint, religious matters and other crucil topics.
  2. I will not tag photos to people without their consent.
  3. I will see to it that irrelevant photos or status won’t be posted.
  4. I will secure my private information and will not give in to malicious sites
  5. I will always see to it that I log out my personal account whenever logging in to public computers.

And the list may goes on and on. However at the end of the day, what’s important is to be responsible when using social media and show respect to everyone. Even though online connectivity can be deemed as informal but respect to everyone as much as we respect ourselves must not be forgotten.

11

Let us be responsible enough when using social media as much as we love to use it. 🙂

Under the Sea

digdash

The use of pirated or illegal software has been an unending issue since then. From individual users to large corporations, there has always been nonstop arguments and lashes over the issue.  But generally, how do we define or how would we know if a certain software application is deemed pirated? A pirated software basically is any kind of software that is being used, copied and distributed without ownership or legal rights. In other words, the “owner”, or the person or company authorized for a certain software product has the sole power to distribute and do things with regards to the software. Any act of deviance such as copying the software without the knowledge and consent of the authorized ones is considered as an act of piracy.

17837064_1702677469749309_713978156_o.jpg

Many users tend to use pirated copies of some softwares due to the increase in prices of purchasing one and other inconveniences that the users may encounter such as unavailability of credit cards and other mode of payment. Due to the rapid growth of technology as well as the knowledge gained by internet users, it is very easy to spread softwares online to be downloaded and used by different people all over the world. The use of pirated softwares can also be attributed to the culture of a given community or even of the country. It is observed that developing countries tend to embrace the idea of the use of pirated software more compared to the developed countries wherein the people do not entertain this kind of idea.

z_p45-Suspended

That is why the issue never ends because no matter how some people and company tend to control the illegal distribution and acquisition of pirated software, as long as there are people who acknowledge this kind of activity, illegal use never stops.

idc-2

Personally, I cannot blame a person who uses pirated softwares most especially if that person uses the software for educational purpose. In the Philippines, there are a lot of people who uses unofficial softwares. However, most of the applications are used for the classroom and other educational purposes. But then being a developing country doesn’t mean that we should tolerate this kind of behavior. I believe that one style that the software companies can impose is that it can offer at least 30 (thirty) days of free trial for the users to discover and indulge in the different uses of a certain software application. After the 30-day trial, then the company can make the users choose whether to continue using the software for a fee per month or annually. In this case, the users who would want to continue using the software will have no choice if the software is really needed. Anyhow, if the given price for the software is bearable and reasonable, people will start appreciating the value of the software and would eventually pay regularly for the service. I think that it’s just a matter of self discipline and respect over the work of others. Once an individual starts doing this, it will create a domino effect and thus would lessen the amount of users who would resort to software piracy.

At the end of the day, the use of pirated software is our own choice. It is up to us whether we value integrity or not. Just as long as we can be responsible for our actions, we can still do things that we want, that we think is right, and that we deemed is right.

Development in Knowledge Management

knowledge-management

Thomas Davenport (1994) quoted the definition of Knowledge Management as the process of capturing, distributing, and effectively using knowledge while Gartner Group, an American research and advisory firm providing information technology related insight for IT and other business leaders located across the world, made another definition of Knowledge Management and according to the company,  Knowledge management is a discipline that promotes an integrated approach to identifying, capturing, evaluating, retrieving, and sharing all of an enterprise’s information assets. These assets may include databases, documents, policies, procedures, and previously un-captured expertise and experience in individual workers.

I believe that for a University such as Iloilo Science and Technology University, Knowledge Management is essential for the daily operations of the school. As a matter of fact, the first few stanza of the University Hymn goes this way…

Iloilo Science and Technology University
for work with dignity
Molding the youth, to serve humanity
Building manpower to propel industry

Wisdom in science and knowledge management
Values and skills that spell development.
With grandiose goals, the citizens are trained
To realize the nation’s Fondest dream

Thus, the school, having a vision to be a leading institution in science and technology by the year 2020, it is important to be able to gather, store and process information and make it available to the members of the organization through the help of modern technology. A University has a large scope of data from students’ records, employees’ database system, and many data that are overlapping crowd out. Thus, proper handling of those data must be considered since it is vital for the organization to determine what data are to be used to process useful information and in turn would convert it into Knowledge Management System. For ISAT U to have a competitive advantage in the field of science and technology, it needs to enhance its KMS for an efficient and effective implementation of its courses and programs. A proper strategy and use of KMS will surely benefit ISAT U as a whole.

Knowledge_Management

The biggest barriers in implementing Knowledge Management is the resistance of the people in the organization to be able to participate in the creation, retention, sharing and reuse of information. The tacit and the explicit knowledge of the people in the organization must be blended well together to form a good source of information for the enhancement of the KMS of the organization. Also, a stable technology must be present in the organization to aid with with the storage and handling of pertinent records and files. A software aid and a softcopy of all the files must be stored so that when unfortunate events may occur there are back up data for the perusal of key persons in the organization

.knowledge_3

The saying that “Knowledge is power but knowledge sharing is empowerment” for me basically means that knowledge made from useful information alone is just plain knowledge, nothing more, nothing less. However, if there is an active participation of various people in the organization, knowledge can be contributed with each other, can be added with one another, can be enhanced further and can even be molded into something more powerful that can benefit the organization greatly. It may  be somehow related to the thought that no man is an island. It can be rephrased also that no sole knowledge can stand alone rather, groups of knowledge added together creates stronger and bolder Knowledge Management System.

Business Made Intelligent

Dilbert_20140511

The fad of technology today created a scenic view in terms of the processes of various business and organizations. It is evident how the internet and technological advancement created opportunities and strengths to the business sectors of the world. Now, in line with these emergence comes along the rise of Business Intelligence. As the name itself implies, business is seen as something that has its mind – thinking and knowledge.

There are various styles and techniques of a certain business to keep up with the demands of its consumers, demands of the economy, and demands of the management as a whole. These demands are aimed to be met and even surpassed to create customer and business satisfaction, ensuring the success of a certain business. A business can be able to do specific measures to encourage more effective  use of Business Intelligence Tools. By a thorough and proper implementation of the use of certain online tools, then employees and company enthusiasts can be able to adopt and can put into their system the various uses of online tools.

digdash

Businesses today mostly depend on the data and other informative tools. Businesses can be able to implement a company-wide strategy such as starting from a small leap in business meetings wherein instead of a virtual set-up, people outside of the company can be able to connect online and can attend to the meeting. Also, online system that can capture data of a certain organizational unit such as a shoe store can be able to retrieve data, turn it into information, and can eventually lead into a useful knowledge in the business. Through the use of different tools in relation to business intelligence, it is more convenient on the part of the people running up the business to keep the ship sailing. Thus, a company can be able to encourage the use of BI tools through a step to step introduction and implementation of online tools.

A reinforcement of a rewards program can be seen positively in contrast to a punitive one since it can inspire professionals to go our of their way and embrace BI rather than employees who do not enjoy and appreciate the use of IT tools for the benefit of their own company. As an example, a certain company can give bonuses, incentives or any other rewards for the people under a sample department that were able to come up with specific measures to reduce a problem that was discovered through the data gathered and presented to the company. In this way, the people will be encouraged to use more BI tools and assess the given data to create more meaningful information and make conclusions regarding the data gathered. Data are one of the most important parts in a business unit since it can be a powerful tool for the success or the downfall of businesses.

Incentives regarding the thorough use of BI applications can be beneficial to the employees but then constant reminder and motivation can help mostly in the employees for them to work on things with the use of BI tools.

In conclusion, change is always inevitable and how people respond to that certain change can either make or break a business. It must the role of the administration or the management to create innovations and provide options for the smooth implementation of processes in a business.

Shopping on the internet can be convenient for some consumers while others find it differently. Generally, younger generations tend to embrace the thought better than the older ones. Sometimes, it is also case to case basis. The past few years paved way for the fast emergence eBusiness or simply put, online businesses and majority of it would be the online shopping. A lot of social media sites became a medium for proprietors to showcase their goods online in just a jiffy. There are many ways in which shopping on the internet can be more convenient for some consumers, as listed below:

online-shopping-sites

  1. Time-Saving

On the side of the business owners, it is efficient to post goods and merchandises online since they would just have the pictures taken and upload it in the internet, given that connections and other variables are fine. Aside from the actual retail store, the overall appearance of the stalls and of course the cleanliness of the place must be taken into consideration.

2. Energy-Saving

Posting goods online, aside from saving time also saves a lot of energy on the part of the sellers since they will not consider store hours to put up and fix up their goods again upon closing and opening.

online-shopping-ecommerce-ss-1920

3. Pricing

For price conscious buyers, it is convenient to scroll goods online when they want to benchmark the prices and can choose the best buy for them.

4. Availability

Selling goods online is 24/7 meaning that the buyers can scroll through the goods being sold anytime, and can have their transactions at any given time.

5bba0926-946f-43c0-bf67-ed1477600010

5.Variety

Aside from the conveniences stated above, the buyers can have all the time to scroll and go through the products, read all through out the descriptions and specifications. Unlike in the actual store wherein some buyers can feel the pressure brought about by sales lady and others sales assistants.

However, there are a lot of factors that can be considered also that makes online shopping less convenient and some of it are fraud for credit card transactions, the difference in the actual and online appearance of a certain product, waiting for days for the shipping of the products bought, and a lot more personal reasons why a certain buyer would not opt to purchase goods online.Well, there can be a hundred reason why people would choose either to buy online or not.

zalora-1-2

Personally, products that I would have no hesitation buying over the internet are headphones, wallets, earrings and other  “fashion” (just fashion) jewelries that are safe to use no matter what. Products that I might think before buying are bags, trolleys, cellphone cases and other sort of personal things while products that I will never consider buying are clothes- blouses, pants, shoes and other wearable things that really needs the exact sizes because chances are there would be inconveniences along the way in terms of fitting.

There are pros and cons in buying stuff online or in actual. Just as long as you know what you are doing, and you are happy with the results, it is okay whether where or what you buy. At the end of the day, what we all want to have is satisfaction.

Wired-Less!

1

Wireless network technologies are of great asset to a business or organization. Gone are the days when office transactions are made manually and even connection to the internet are made with cords and plugs. Today, the rise of wireless technologies enable businesses to collaborate easily and produce an effective work process. It is much easier for people nowadays to connect to wireless technologies because they can move faster and wherever just as long as the device and the connectivity allow them to.

3

Business nowadays are so competitive and costly because of the emergence of tools and collaborative technology that are essential for corporate success. For example, a business which has a wireless connectivity over the internet has a competitive advantage compared to a business with wired network. When some of the cable wires are not attached and are impaired, there will be some issues over the internet causing work delays and bummed mood for the employees. No internet connection in an office is really as good there is a power outage because employees cannot work thoroughly.

Wifi workstation with globe and router conceptOne good thing also is that there is a cooperation and collaboration between offices, departments and units because it is now convenient to use online tools. Business meeting of international firms can be made online rather than planning a trip ahead of time to meet in a certain branch of office causing money and time expense for the company. Having wireless technologies make everyone better off. Just as long as online tools are used ethically, then there is no downside to this.

Businesses are very lucky in this era because it is so convenient doing things rather than doing everything manually. As long as a certain company can be able to identify its needs, good collaborative online tools can be implemented causing reduction of costs and enhancement of day-to-day process of the business.

But then, guidelines and proper usage of wireless networks must be enforced to the employees in a given organization to impose discipline and respect in the workplace. First, social networking sites must be banned during the working hours and thus in the part of the employees, they must not open sites that are prohibited since it causes negative effects in their performance and other related matters. Second, the use of wireless networks must be handled with care. Sensitive information must not be easily spilled out by employees such as company data and statistical information. Third, time must be considered and respected also. Just because it is easy to have a video conference with the higher-ups in a business doesn’t mean that you can contact them and chat with them anytime. Working hours must be still considered.

5

There are numerous considerations when using wireless network technologies. However, the efficiency and effectiveness of these technologies depends on how well the manage and the business thrive to make it better.

The 3rd Party

outsourcing-1

The primary reason why businesses and organizations outsource IT services is because of lack of resources and skilled personnel. Basically, companies which focus on cost reduction would resort to the outsourcing of their whole IT Department to manage their system so as to minimize repairs, maintenance and even overhauling of the overall system. Sometimes, a certain business also strategically would want to outsource their IT services for some reasons.

brand-it-outsourcing

Mostly, if a certain company would want to prioritize and put their attention into other factors, then rather hiring skilled workers in the IT Department, then it is much better to outsource for a stress-free process. However, outsourcing is not all about the advantages. The company who are outsourcing should be able to know that they are also risking the security of its company. Since all information and data are being collected and processed by the outsourced IT Department, then sometimes there are medium channels that sets the sole company and the outsourced department apart.

The certain company or business must be able to handle and to know exactly its information that are being shared with the hired people. Sometimes, it is easy to be complacent and put our trusts into people but then it is much better to as least have options and plan B or contingency plan in case something goes wrong. It is the role of the manager to be able to know what are the vital information of the company and up to what extent can the IT specialists be able to modify and handle those information.

benefits-vs-risks-of-outsourcing-it-services-2

Through online scanning of informational write-ups regarding the pros and cons of outsourcing It services, i have summed up some of the key points and identified four (4) benefits and drawbacks. Anyhow, it is the discretion of the organization whether to outsource or not given their priorities and vision.

Benefits:

  1. Cost Reduction

Primarily, for a company which lacks the number of people to comprise an IT Department, it is better to outsource so as the company will only be “buying” the whole department and not minding the other unnecessary costs. It is also much better so that the company won’t be able to invest on the needed equipment and materials needed for the office since the outsourced company has everything they need.

     2. Core Focus

post-extern-en

For a company with a core specialty in a business or in an organization, outsourcing may be the best way to focus on the priorities of the unit well. It is essential that the organization will be able to continue doing its core functions and just hire people who can help it in the technological side of the company. As an example, a financial institution can just choose to outsource its IT system for fast transactions. Since the institution focuses more on the processes and the ins and outs of cash systems, then the company can just provide a standard procedure for each processes and let the outsourced company create a fitting system for its use.

    3. Certified Experts

outsource-support-partner

If it’s hard to find skilled workers with a lot of experience in the field of IT as well as training and seminars which are rare, it is also best to outsource rather than trying to find the best people for the IT Department of a certain company. When outsourcing, it is already given that there are specialists in the field working for the company whereas looking for a worker manually induce time and cash costs.

4. Customer-Driven
Outsourcing means that the company looks into the betterment and the win-win situation of both the company – its employees and staff, and the customers overall. Thus if there is a good system technically, there will be a smooth process and flow of transactions. Customers will be able to appreciate the business better.

Drawbacks:

  1. Security Protocolsoutsourcing-it

It is inevitable that there will always be leakage of certain information most especially since almost all of the vital information of a company can be shown  and can be seen online and within the system. Thus for example in a Government Sector, some people with bad interests can be able to track and trace down information over the system. Information of well-known people can be known and can be used in bad faith. So it is also a part of the management of the company to make a set of protocols and guidelines for its employees and to the outsourced company.

      2. Service Downtime

One of the basic problems whenever a company is outsourcing is that it fully depends on the system and network availability of the outsourced system. If there are errors and things that are needed to be fixed, then time costs and constraints will result because of the happening. In a bank for example, it’s Monday and mostly a lot of people would verge over and unfortunately the outsourced system had an error then definitely there would be negative outbursts from the customers.

      3. Stoppage of Managerial Controloutsourcing-it-maintenance-300x249

It is inevitable also that once a company had already outsourced its IT Department, then definitely there would be less or even no managerial control over its department. Since the outsourced department is a different entity, then basically it will just do its main functions. The company who do the outsourcing will have little jurisdiction over the outsourced company and that is sometimes the cause of misunderstandings and false accusations over the other.

      4. Sensitivity of the Business

Preferably, no matter how sensitive a business is, when there are no more options for the business to venture into, then it would just resort to outsourcing. However, it may also result to awkwardness and inconveniences for the requesting party.

Across systems

The benefits and drawbacks stated above are just some of the things that might happen when a company starts to outsource. Depending on the nature of a business, it will always be a case-to-case basis and it will always depend on the decision-making and the handling of the situation of the management. jacksonville_website__app_development_outsourcing_it_can_save_you_money_blog

The Triple O

micromanage

A manager has only one job and that is – to do everything. The duty of a manager ranges from A to Z. From resource handling to planning to deciding to outsourcing – practically a manager does everything that come its way. There’s no room for turning back. That is why, a good manager must possess essential skills to be able to bend with the flexibility in the work environment. The success of a business or an organization depends on how well the manager does things.

page-8

Three Os are needed for a given manager to be effective and efficient in participating in IS decision-making:

  1. Objective

An objective person is someone who is not influenced by personal feelings or prejudices. This person is unbiased and base every decision on facts.

In a given working environment, whatever the nature is, a manager must be able to possess objectivity when it comes to personnel handling and decision making. Above anything else, even when under pressure, it is vital to keep a stern objectivity. A manager must be able to handle the confidentiality of important information of the organization.

As an example, a private information stored in the database must not given out to acquaintances or even influential persons without having to go into the proper procedure of obtaining those. With respect to the customers or the people with whose information are stored, there must always be ethics in lined with the values of an effective manager.

tradr-analisi-tecnica

2. Organized

To simply put, an organized manager should be able to plan ahead needed tasks that should be done urgently, prioritize things to maximize efficiency and to develop back-up plans in case some original plans will not work. Basically, an organized manager must be ready for battle always. Being an organized leader and manager is a tough task because there will always be a tendency of a person to be overwhelmed with the voluminous tasks that are lined ahead. A manager must be able to determine top level work in contrast with jobs that can be easily delegated to the subordinates. To avoid crowding out of work, there must be proper dissemination of job responsibilities. Also, the right person must be assigned the right job. In this way, there will be less expense and less stress.  A manager should be reliable and dependable most especially with tasks management to make the whole organization better off.

An organized manager must be able to sort out and filter data into differing work functions and allow each employees for optimal work load. Organized data would reduce duplications and redundancy of work.

A manager should also be mature enough to be able to take full responsibility of everything and everyone in the organization under, in line, and over him/her, most especially when it involves IS or data handling. An organized manager is needed to avoid a topsy-turvy situation. Not necessarily an OC person, but at least, work tasks are organized into proper handler so as to minimize work costs and maximize work efficiency.

page-12

3. Optimistic

It pays to be optimistic!

Behind any good institution or organization is an optimistic manager. The behavior and attitude of a manager is reflected on the performance and feels of the whole organization. As what the motto says, there is always a rainbow after the rain. And even though no rainbow can be found, there will always be sunshine. Life’s just a matter of perspective. It’s how one see things and turn them upside down. Remember, you alone can decide whether to see the glass as half-empty or half-full.

In a world where happiness is based on material things and on how fast the access to wireless fidelity is, an effective manager must be able to instill optimism in the workplace because even when there is nothing left, there will always be a pair of eyes that sees the positivism in the world.

The work environment is so dynamic and diverse that people cannot fathom  to survive unless they remain resilient. A good manager must know how to empower its people towards progress. A manager must also be able to motivate people and inspire keep doing things with color.

target

With these three Os, definitely one can be assured of the success of the business or the organization. At the end of the day, a manager who can manage can be managed too.
