Ending the trimester with a Bang!


The end of the trimester made me a more mature individual with a better understanding and realizations pertaining to Management Information Systems and Technology. Behind the name lies a deeper notion and apprehension of the subject matter. Truly, it made me view Management plus IT in a different and better perspective. Thus, knowledge never stops as everyday is a learning process.

Truly, throughout the trimester, it enhanced and refreshed my mind with the strategic use, application, and most importantly the management of information paired with technology most especially in the workplace and in ways that it can enhance the overall processes of organizations. As for myself, I have seen and realized how simple IT can turn my workplace into something that is effective and efficient. There can be IT but without the proper handling and management of IT, it will be still deemed as useless and ineffective. As workers, it is essential that we must be able to fully understand the wide scope of IT to get involved and participate in IT decision making, strategic planning and project implementation. As part of certain organizations, it is also important that we can make a change or rather we can create a change to make sure that we bring the real value and essence of IT and see to it that potential risks are mitigated.


In the field of business, the use of IT is also a big help since this subject has enlightened me with the wide range of applications and solutions towards online business methods and the likes. Interaction and collaboration with customers can also be made simple and effective through the use of IT – online collaborative tools and others. The gathering and analyzing of data can also be achieved in an instant through the use IT which can be very helpful in business implementation.

Also, the subject has reviewed and once again made things clear about the ethical issues, security, social and legal topics that is vital for the implementation of IT systems most especially that it involves people. And when people are involved things can get too complicated and can overlap concepts and procedures.

Electronic spreadsheets and database are also applications that truly create a big difference in the lives of every individual. It can be a big leap to the business enthusiasts and personal ventures.

So to summarize everything, let’s go back to the basic question. Does IT Really Matter?

Well definitely IT does matter because it encompasses a lot of daily activities. Without IT, everything will be dull, senseless and hopeless. This trimester in Information Technology made me gained insights not just in the technical side but also in the decision making process as future managers and as individuals. IT is more than just about the hardware, software and peopleware, it’s all about the underlying concepts and processes that actually make a certain unit efficient and successful. Technical skills are needed, but further higher technical-thinking skills are also needed for the IT in the different aspects of the world to operate effectively.


IT is vital in work and moreso in personal life and professional development. Why? First and foremost, if you are going to stop what you are doing right now and look at everything around you, you will see that basically almost every task of people’s lives depends on the use of technology. When you wake up in the morning, the first thing that you look for is your cellphone. And generally people can no longer go on with their daily lives if they have no cellphones, laptops, and other technological devices. Our lives are ruled with the help of IT and whether we like it or not, the use of IT has developed how we live throughout the ages much as we are living in comfort today. Personally, I cannot fathom to think about myself living my everyday life without the use of IT. My everyday life and work process involves the use of technology from hardware to software and people in the organization as well.


As workers, it is important to understand how the organization and how the system works. It is essential that for everyone to cooperate and to utilize IT effectively, individuals must be exposed and must be made aware of the risks and potentials of IT. In certain organizations, there are some people who resist change and thus it is difficult for organizations to implement IT strategies and processes when there are people who do not cope up and would not want anything to do with technology. Thus, in today’s globally competitive world, it is important that paired with the technical skills, it is also important to try to manage and consider people in the organization who are not as skilled as we are. It is important to look at everyone equally and by equally it means that everyone is treated fairly, without prejudices or biases.

IT actually opens to a lot of opportunities given that everything today can just be made in an instant, with just a click away. There are still a lot of concepts and things that cannot be fully understood as an individual that is why I firmly believe that knowledge is continuous and that learning does not stop here, in the last blog, or in the four walls of the Laboratory. IT will keep on advancing, will keep on searching for the trend, and will keep on aiming for more high-end technology there is to date. As individuals, we should not stop learning. There are a lot of readings over the web and we should update ourselves with what technology has to offer. At the end of the day, feeding ourselves with information will always be healthy and will count zero calorie.

The Social Media Syndrome


The use of social media today is so powerful that it can either make or break you. Together with the growth of technology comes the inevitable use of social media, as everyone of various age groups are trying to fit in the new trend. Almost anything under the sun can be found in social networking sites and sometimes people tend to spend their time more in social media than the actual real world setting.

True enough, social media has made a big impact in the lives of everyone, most especially to the millennials. But what is really social media? Social media are online sites and web applications that allow users to make and share content to participate in social networking or simply put, online applications that enable everyone to connect and communicate with each other. The use of social media has been prevalent and most of the most talked topic nowadays are mainly because it was posted or it was made “viral” by social media.


The use of social media can be of advantage for personal development and professional growth. Personal development and professional growth can also be overlapped with each other through the use of social media. You can connect with basically everyone in the world. You can build your network, can enhance your connections and you can build rapport with anyone you choose to be with, most especially when you are starting up your own business.

Once you have already established rapport with people within your web connectivity, you can easily reach out your business proposals and ventures with everyone online. It will be just as easy as adding friends all around. Advertising and marketing will be convenient most especially if there are good reviews of your business online. People would mostly purchase products that have high ratings and have good reviews from users and would eventually purchase the product too, and will in turn put in their reviews online too. Also for big business ventures, supply chain management can be made easy since it can browse online the raw materials needed.

Thus, these are my Personal Commitment Statements on the responsible use of social media:

  1. I will not carelessly post things especially when it involves critical issues like political standpoint, religious matters and other crucil topics.
  2. I will not tag photos to people without their consent.
  3. I will see to it that irrelevant photos or status won’t be posted.
  4. I will secure my private information and will not give in to malicious sites
  5. I will always see to it that I log out my personal account whenever logging in to public computers.

And the list may goes on and on. However at the end of the day, what’s important is to be responsible when using social media and show respect to everyone. Even though online connectivity can be deemed as informal but respect to everyone as much as we respect ourselves must not be forgotten.

The use of pirated or illegal software has been an unending issue since then. From individual users to large corporations, there has always been nonstop arguments and lashes over the issue.  But generally, how do we define or how would we know if a certain software application is deemed pirated? A pirated software basically is any kind of software that is being used, copied and distributed without ownership or legal rights. In other words, the “owner”, or the person or company authorized for a certain software product has the sole power to distribute and do things with regards to the software. Any act of deviance such as copying the software without the knowledge and consent of the authorized ones is considered as an act of piracy.


Many users tend to use pirated copies of some softwares due to the increase in prices of purchasing one and other inconveniences that the users may encounter such as unavailability of credit cards and other mode of payment. Due to the rapid growth of technology as well as the knowledge gained by internet users, it is very easy to spread softwares online to be downloaded and used by different people all over the world. The use of pirated softwares can also be attributed to the culture of a given community or even of the country. It is observed that developing countries tend to embrace the idea of the use of pirated software more compared to the developed countries wherein the people do not entertain this kind of idea.


That is why the issue never ends because no matter how some people and company tend to control the illegal distribution and acquisition of pirated software, as long as there are people who acknowledge this kind of activity, illegal use never stops.


Personally, I cannot blame a person who uses pirated softwares most especially if that person uses the software for educational purpose. In the Philippines, there are a lot of people who uses unofficial softwares. However, most of the applications are used for the classroom and other educational purposes. But then being a developing country doesn’t mean that we should tolerate this kind of behavior. I believe that one style that the software companies can impose is that it can offer at least 30 (thirty) days of free trial for the users to discover and indulge in the different uses of a certain software application. After the 30-day trial, then the company can make the users choose whether to continue using the software for a fee per month or annually. In this case, the users who would want to continue using the software will have no choice if the software is really needed. Anyhow, if the given price for the software is bearable and reasonable, people will start appreciating the value of the software and would eventually pay regularly for the service. I think that it’s just a matter of self discipline and respect over the work of others. Once an individual starts doing this, it will create a domino effect and thus would lessen the amount of users who would resort to software piracy.

At the end of the day, the use of pirated software is our own choice. It is up to us whether we value integrity or not. Just as long as we can be responsible for our actions, we can still do things that we want, that we think is right, and that we deemed is right.

Development in Knowledge Management


Thomas Davenport (1994) quoted the definition of Knowledge Management as the process of capturing, distributing, and effectively using knowledge while Gartner Group, an American research and advisory firm providing information technology related insight for IT and other business leaders located across the world, made another definition of Knowledge Management and according to the company,  Knowledge management is a discipline that promotes an integrated approach to identifying, capturing, evaluating, retrieving, and sharing all of an enterprise’s information assets. These assets may include databases, documents, policies, procedures, and previously un-captured expertise and experience in individual workers.

I believe that for a University such as Iloilo Science and Technology University, Knowledge Management is essential for the daily operations of the school. As a matter of fact, the first few stanza of the University Hymn goes this way…

Thus, the school, having a vision to be a leading institution in science and technology by the year 2020, it is important to be able to gather, store and process information and make it available to the members of the organization through the help of modern technology. A University has a large scope of data from students’ records, employees’ database system, and many data that are overlapping crowd out. Thus, proper handling of those data must be considered since it is vital for the organization to determine what data are to be used to process useful information and in turn would convert it into Knowledge Management System. For ISAT U to have a competitive advantage in the field of science and technology, it needs to enhance its KMS for an efficient and effective implementation of its courses and programs. A proper strategy and use of KMS will surely benefit ISAT U as a whole.


The biggest barriers in implementing Knowledge Management is the resistance of the people in the organization to be able to participate in the creation, retention, sharing and reuse of information. The tacit and the explicit knowledge of the people in the organization must be blended well together to form a good source of information for the enhancement of the KMS of the organization. Also, a stable technology must be present in the organization to aid with with the storage and handling of pertinent records and files. A software aid and a softcopy of all the files must be stored so that when unfortunate events may occur there are back up data for the perusal of key persons in the organization


The saying that “Knowledge is power but knowledge sharing is empowerment” for me basically means that knowledge made from useful information alone is just plain knowledge, nothing more, nothing less. However, if there is an active participation of various people in the organization, knowledge can be contributed with each other, can be added with one another, can be enhanced further and can even be molded into something more powerful that can benefit the organization greatly. It may  be somehow related to the thought that no man is an island. It can be rephrased also that no sole knowledge can stand alone rather, groups of knowledge added together creates stronger and bolder Knowledge Management System.

The Triple O


A manager has only one job and that is – to do everything. The duty of a manager ranges from A to Z. From resource handling to planning to deciding to outsourcing – practically a manager does everything that come its way. There’s no room for turning back. That is why, a good manager must possess essential skills to be able to bend with the flexibility in the work environment. The success of a business or an organization depends on how well the manager does things.


Three Os are needed for a given manager to be effective and efficient in participating in IS decision-making:

  1. Objective

An objective person is someone who is not influenced by personal feelings or prejudices. This person is unbiased and base every decision on facts.

In a given working environment, whatever the nature is, a manager must be able to possess objectivity when it comes to personnel handling and decision making. Above anything else, even when under pressure, it is vital to keep a stern objectivity. A manager must be able to handle the confidentiality of important information of the organization.

As an example, a private information stored in the database must not given out to acquaintances or even influential persons without having to go into the proper procedure of obtaining those. With respect to the customers or the people with whose information are stored, there must always be ethics in lined with the values of an effective manager.


2. Organized

To simply put, an organized manager should be able to plan ahead needed tasks that should be done urgently, prioritize things to maximize efficiency and to develop back-up plans in case some original plans will not work. Basically, an organized manager must be ready for battle always. Being an organized leader and manager is a tough task because there will always be a tendency of a person to be overwhelmed with the voluminous tasks that are lined ahead. A manager must be able to determine top level work in contrast with jobs that can be easily delegated to the subordinates. To avoid crowding out of work, there must be proper dissemination of job responsibilities. Also, the right person must be assigned the right job. In this way, there will be less expense and less stress.  A manager should be reliable and dependable most especially with tasks management to make the whole organization better off.

An organized manager must be able to sort out and filter data into differing work functions and allow each employees for optimal work load. Organized data would reduce duplications and redundancy of work.

A manager should also be mature enough to be able to take full responsibility of everything and everyone in the organization under, in line, and over him/her, most especially when it involves IS or data handling. An organized manager is needed to avoid a topsy-turvy situation. Not necessarily an OC person, but at least, work tasks are organized into proper handler so as to minimize work costs and maximize work efficiency.



3. Optimistic

It pays to be optimistic!

Behind any good institution or organization is an optimistic manager. The behavior and attitude of a manager is reflected on the performance and feels of the whole organization. As what the motto says, there is always a rainbow after the rain. And even though no rainbow can be found, there will always be sunshine. Life’s just a matter of perspective. It’s how one see things and turn them upside down. Remember, you alone can decide whether to see the glass as half-empty or half-full.

In a world where happiness is based on material things and on how fast the access to wireless fidelity is, an effective manager must be able to instill optimism in the workplace because even when there is nothing left, there will always be a pair of eyes that sees the positivism in the world.

The work environment is so dynamic and diverse that people cannot fathom  to survive unless they remain resilient. A good manager must know how to empower its people towards progress. A manager must also be able to motivate people and inspire keep doing things with color.


With these three Os, definitely one can be assured of the success of the business or the organization. At the end of the day, a manager who can manage can be managed too.
